Most agents think of Microsoft 365 as an Outlook subscription. That undersells it badly. What you are actually buying is a tenant — a private directory for your company that owns your domain, your users, your files, and the permissions between them. Email is one service that hangs off it. Everything else you use should hang off it too.
Email on your own domain
you@yourbrand.com, with the authentication records set correctly so mail servers on the other end trust it. This is the piece that lenders, title companies, and cooperating agents see first, and the piece most solo operators never configure properly.
One identity per person
A single sign-in that controls mail, files, calendar, and Teams, with multi-factor authentication enforced. When someone joins, you create one account. When someone leaves, you disable one account and their access to everything ends at the same moment.
Shared calendars that actually work
Showings, inspections, closings, and open houses visible across the team, with bookable time and shared resources. Free/busy that a transaction coordinator can read without texting you to ask if 2pm Thursday is open.
Document storage the business owns
Listing files, contracts, disclosures, and vendor paperwork in SharePoint and OneDrive with version history and permissions — not scattered across personal drives, phone screenshots, and email attachments nobody can find in eighteen months.
Teams as the internal channel
Deal-by-deal channels keep the internal back-and-forth out of the client email thread. Files, chat, and the meeting all sit in the same place, so onboarding a new agent means adding them to a channel instead of forwarding history.
A surface AI can safely sit on
Automation needs structured, permissioned data to work against. A real tenant is what makes AI workflows useful instead of risky — the assistant reads your documents and calendars inside a boundary you control.
Why It Matters
A consumer email address costs you twice: once in credibility, once in deliverability.
The credibility cost is obvious to anyone who has sat across the table from a listing appointment. The deliverability cost is invisible, which is why it does more damage.
A seller comparing two agents reads yourname@gmail.com as a side business and yourname@yourbrand.com as a company. That judgment happens before you speak.
Lenders and title coordinators handle wire fraud attempts constantly. Mail from free consumer domains gets scrutinized harder — and sometimes quietly quarantined — because that is where the fraudulent mail comes from.
Consumer providers do not let you publish sender authentication for your own brand. You cannot prove the mail is yours, so receiving systems have to guess.
When your mail is your inbox and your marketing sends from somewhere else, the two build separate reputations and neither one is under your control. This is the core of real estate email deliverability.
A personal account has no offboarding story. If a team member leaves with the mailbox, the client history leaves with them.
Your Domain
Owning the domain and the tenant means the database, the documents, and the identity belong to your business — not to a brokerage, not to a free mail provider, and not to whoever set it up.
Managed vs. Licensed
"Managed" means someone owns the outcome, not just the invoice.
You can buy Microsoft 365 licenses from anyone in about four minutes. What you cannot buy in four minutes is a tenant that is configured correctly, migrated cleanly, secured sensibly, and supported when something breaks on a Saturday during an option period. That gap is the entire job.

Can I keep my current email address when I move to Microsoft 365?

If the address is on a domain you control, yes — that address becomes a real mailbox in your tenant and nothing changes for the people who write to you. If it's a consumer address like a Gmail or Yahoo account, we create the professional equivalent on your domain, migrate the mail and contacts, and set forwarding so nothing gets lost while your contacts catch up.
My brokerage already gives me an email address. Why would I need my own tenant?

A brokerage address is fine for brokerage business, but it belongs to the brokerage. If you change firms, you lose the address, the mail history, and often the shared files attached to it. Your own tenant on your own domain means your database, your documents, and your identity move with you.
Will moving mailboxes interrupt my transactions?

It shouldn't. Migrations are staged: we provision and test the new tenant first, copy mail and calendars while the old system is still live, then cut the mail routing over at a low-traffic hour. Live transactions are the reason to plan the cutover carefully, not a reason to avoid it.
