Genesis CRM is the CRM and marketing automation layer of the Genesis AI stack. It handles the things a mailbox was never built to handle: where every contact sits in your pipeline, what campaign they belong to, when the next touch fires, and how a stranger books time on your calendar without three rounds of "does Tuesday work?"

The important word is layer. It is not a product you buy separately and then figure out how to connect. It ships as part of the managed service, on top of the Microsoft 365 foundation we provision first — identity, business email on your own domain, calendars, documents, Teams. That order matters. A CRM installed on top of a shaky foundation inherits every problem underneath it.

Most real estate CRMs fail for the same reason: they become a second place where the truth lives. Contacts in the CRM, real conversations in the inbox, the actual calendar somewhere else. Within a quarter nobody trusts the pipeline, and the CRM turns into an expensive contact list. Genesis CRM is built to avoid that by being downstream of the foundation instead of parallel to it.

Four things it actually does

No feature list theater. These are the four jobs the layer exists to do, and everything else is in service of them.

Pipelines

Stages that match how a deal actually moves — new lead, contacted, appointment set, active buyer or listing, under contract, closed, past client. Every contact has a stage and an owner, so "who is following up with this person" has one answer instead of an assumption.

Campaigns

Email and SMS campaigns to segments you define — sphere, past clients, a farm, an open house list, a specific price band. Sending is only half of it; the sending domain, authentication, and list hygiene behind it are what decide whether the message reaches an inbox at all.

Booking

Public booking links tied to real calendar availability, with buffers, routing, reminders, and confirmations. A lead picks a slot; it lands on the right person's calendar. No double-booking a showing against a listing appointment because two systems disagreed about your Thursday.

Follow-Up Sequences

Timed multi-step sequences per pipeline stage — speed-to-lead on a new inquiry, a nurture cadence for a long-horizon buyer, a post-close sequence for referrals. Sequences pause automatically when a human replies, because nothing burns a relationship faster than an automation talking over a live conversation.

One identity

Your Microsoft 365 account is the login. Users are provisioned and de-provisioned in one place, so when an agent leaves the team, access to the pipeline ends with their mailbox — not weeks later when someone remembers.

Booking reads your real Outlook availability. Campaign and sequence mail sends from your own authenticated domain, so marketing volume and client correspondence share a reputation you control.

You probably need this layer

If more than one person touches a lead. If follow-up depends on someone remembering. If you run listing or buyer marketing on any recurring basis. If you are hiring an assistant or a second agent and need the process to exist outside your own head. If leads arrive from several sources and you cannot say which source produced last quarter's closings.

You probably do not — yet

Solo operators on Foundation frequently do not need it. If you are one person, working a database you genuinely know, with a follow-up habit that is already holding, a CRM adds maintenance before it adds leverage. Get the foundation clean first: professional email, identity, documents, and the AI workflows that remove admin drag. Add the layer when the process has to outgrow you.

Because it is a layer rather than a purchase, there is nothing to license yourself, nothing to renew, and nobody to call when a sequence stops firing except us. Buildout, pipeline design, campaign setup, migration, and ongoing changes are covered by the same monthly price — the provisioning process is the same one every client goes through.

Is Genesis CRM a separate product I buy?

No. Genesis CRM is a layer inside the managed service, not a separate purchase with its own invoice. It is included from the Professional plan up, and it is configured, connected, and maintained by us as part of the same monthly price. There is no add-on line item and no separate contract to sign.

Does Genesis CRM replace Outlook and Microsoft 365?

No. Microsoft 365 stays the system of record for identity, mailboxes, calendars, and documents. Genesis CRM sits on top of it and handles pipeline, campaigns, booking, and sequences. You still work out of Outlook and Teams; the CRM captures the structure around that work rather than asking you to abandon it.

Do I need Genesis CRM if I am a solo agent?

Often not yet. If you are one person with a database you can still hold in your head and a follow-up habit that is working, the Foundation plan gives you the professional base without the overhead of a pipeline you would have to feed. Genesis CRM earns its place when the process has to survive being handed to somebody else — a second agent, an assistant, or an automation.

What happens to the contacts in my current CRM?

We export them, clean them, and map them into the new pipeline structure during provisioning. Duplicate records get merged, dead records get flagged rather than silently imported, and stage definitions get rewritten to match how you actually work. Migrating a messy database without cleaning it just moves the mess.
